As an ISAP member your privacy is important to us and we are committed to being transparent about how we use your personal information and how we keep it safe. This Privacy Policy is intended to help you understand:

This Privacy Policy covers the information ISAP collects about you when you become a member. ‘ISAP’ refers to the International Society for Archaeological Prospection. ‘Services’ refers to all services that ISAP offers, including the isap-all mailing list and discounted subscription to the Wiley journal Archaeological Prospection. ‘Web Site’ refers to the ISAP web site at the address www.archprospection.org. ‘Data Managers’ are appointed by the ISAP Management Committee to access and use your personal information.

What is Personal Information?

Personal Information is information relating to an identified or identifiable natural person. An identifiable natural person is one who can be identified, directly or indirectly, by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

What personal information we collect about you

Information you provide to us

ISAP collects information about you when you register to become a member, or when you update your membership details. This may include your name(s) (mandatory), address, telephone number and email (mandatory).

Information we collect automatically when you use our Services

ISAP does not use ‘cookies’ on its Web Site. Should this policy change in future, there will be information provided on how to control or opt out of these cookies.

ISAP does not use analytics on its Web Site. Should this policy change in future, information about such use will be provided.

ISAP does not use widgets and social media features on its Web Site (such as a Twitter “tweet” button) that collect information about you. Should this policy change in future, information about such use will be provided.

How ISAP uses the personal information it collects about you

ISAP only collects and processes information about you where we have a legal basis for doing so under applicable EU laws. The legal basis depends on the Services you use and how you use them. This means we collect and use your information only where:

  • ISAP needs it to operate our Services, provide membership support and to protect the safety and security of the Services;
  • It satisfies a legitimate interest (which is not overridden by your data protection interests) and to protect our legal rights and interests;
  • You give us consent to do so for a specific purpose; or
  • We need to process your data to comply with a legal obligation.

How we use the information we collect depends, in part, on which Services you use, how you use them, and any preferences you have communicated to us. Below are the specific purposes for which we use the information we collect about you.

To provide the Services

ISAP uses the personal information that you provided to process financial transactions, and operate and maintain ISAP’s Services. Personal information required to provide our Services is retained in perpetuity for the purposes of maintaining your membership history, unless requested otherwise.

To communicate with you about our Services

ISAP uses the personal information you have provided to ISAP to communicate with you about our Services via email, including sending you automatic notifications, security alerts, and administrative messages related to our Services.

To promote and drive engagement with our Services

ISAP may communicate with you to provide updates, newsletters and other promotional communications related to our services. ISAP will only communicate with you this way if you have provided your consent. You can opt-out of these communications at any time. Personal information provided with your consent for this purpose will be retained for as long as ISAP provides the Services or until you request otherwise.

To protect our legitimate business interests and legal rights

Where required by law or where we believe it is necessary to protect our legal rights, interests and the interests of others, we may use information about you in connection with legal claims, compliance, regulatory, and audit functions.

With your consent

ISAP may use information about you where you have given us consent to do so for a specific purpose not listed above. For example, we may publish testimonials to promote our Services or publish survey responses for a specific purpose with your permission.

How ISAP shares the personal information it collects about you

How ISAP shares your information with certain third parties depends upon the Services you use.

Wiley journal Archaeological Prospection

In order to allow Wiley to establish whether a subscriber to the journal Archaeological Prospection is eligible for the discounted subscription fee for ISAP members, ISAP will confirm to Wiley whether a named individual is a paid member of ISAP.

Links to Third Party Sites

ISAP Services may include links that direct you to other web sites or services whose privacy practices may differ from ours. If you submit information to any of those third party sites, your information is governed by their privacy policies, not ours. We encourage you to carefully read the Privacy Policy of any web site you visit.

All other services

ISAP does not share personal information with any third party organisation in any other instance than those stated above.

How ISAP stores and secures your personal information

The ISAP Web Site is hosted on servers of Dreamhost.com in the United States. Information you enter in the Web Site’s contact forms is transmitted to ISAP un-encrypted. No other personal information is collected or stored from the ISAP Web Site.

Your personal information is stored by ISAP off-line in a password protected database, which is only accessible to Data Managers.

How to control your personal information held by ISAP

You have the right to request a copy of your information, to object to our use of your information (including for marketing purposes), to request the deletion or restriction of your information, or to request your information in a structured, electronic format.

You can exercise these choices by sending a respective request by email to personalinformation@archprospection.org.

Opt out of communications

You may opt out of receiving promotional communications from ISAP (mainly through the mailing list isap-all) by contacting personalinformation@archprospection.org. Please note, however, that you will still continue to receive transactional messages from ISAP regarding provision of our Services, after you opt out from receiving promotional messages.

Deactivate your membership

If you no longer wish to use our Services and be part of ISAP, please contact personalinformation@archprospection.org. Please be aware that deactivating your membership may not delete your information; your information may remain visible to ISAP Data Managers.

Delete your information

If, in addition to deactivating your membership, you also want ISAP to delete your personal information, please contact personalinformation@archprospection.org. Please note, however, that we may need to retain certain information for record keeping purposes, to complete transactions or to comply with our legal obligations.

Request that we stop using your information

Where you gave us consent to use your personal information for a limited purpose, you can contact us at personalinformation@archprospection.org to withdraw that consent, but this will not affect any processing that has already taken place at the time.

Changes to this Privacy Policy

ISAP keeps this Privacy Policy under regular review and it may change from time to time. We will indicate any changes and clearly state the date of last update to this Privacy Policy on this page. Any significant changes will be prominently indicated on our Web Site.
